Start of Day
- Remove the trash bag covering the device from the night before.
- Plug the device in.
- Hold down the power button until the Toast logo appears on screen.
Clock In & Out
The Bartender PIN code is 0000.
Because we do not track time on the POS system, clocking in and out is not important beyond getting past that screen. Click Clock In for any user and proceed to the next screen.

Adding & Removing Items
Adding
- From the order screen, tap the item to add it to the check.
- To add another of the same item, tap the same button again.
Removing
Tap the item in the check, then select Remove (labeled d in the screenshot below).
Taking Payment
We're card-only — no cash, no other tenders. Every check closes out on the spot.
- With the items on the check, hit Pay ($).
- Have them tap, insert (chip), or swipe their card.
- Let them pick a tip on the device.
- Skip the receipt unless they ask for one.
When a card is declined
The device shows a banner like:
"Your credit card was declined. Please check that your credit card information is correct or use a different card."
Just below that, you'll usually see a short reason from the bank. Here's what the common ones mean and what to tell the guest:

EXCEEDS WITHDRAWAL LIMIT | Over the card's daily limit — try a different card. |
INVALID CARD NUMBER | Card didn't read cleanly — try tapping again or use a different card. |
LOST/STOLEN CARD or PICK UP CARD | Bank flagged the card. Return it and ask for a different one — don't make a scene. |
Refunds
Use this method to refund a credit card payment on a POS device.

From the Quick Order screen, tap the back arrow in the top-left corner to access Settings.
- On the POS device, select Manager Activities > Find Checks & Issue Refund.
- Search for the check by check number or credit card digits.
- Select the check.
- Select Refund.
- Select the refund type: By item, Entire check, Tip only, Tax only, or Custom amount.
- Follow the on-screen prompts to complete the refund.
- Add a tip (if applicable) and add a comment describing the refund reason.
- Select Next > Confirm.
- Choose whether to print a receipt, then select OK.
End of Shift

Tap Switch user in the top-right corner to log yourself out.
- Unplug the power supply at the outlet and tuck it inside the trash bag with the device so it stays dry.
- Cover the device well with the trash bag and leave it at the station.
Outages
If something's not working — network or card reader — your job stays simple:
- Look for the banner at the top of the device. Toast will tell you what's wrong and what still works.
- Get in touch with POS by radio or phone so we know.
- Keep taking orders and card payments as normal — Toast will store transactions on the device.
Wi-Fi / Internet
About 40 seconds after the connection drops, a yellow Offline Mode banner appears at the top of the device. In this mode you can still ring items and take card payments — Toast processes them locally and syncs when the connection comes back. Just follow the three steps above.
FAQ
Should we unplug the POS at the end of the night?
Yes. Please also try to protect all cords from wind and rain overnight.
What if our menus are wrong?
Use the contact table to let POS know.
The buttons or text are hard to read — can that be adjusted?
Yes. If the buttons are too small, the font is too small, or anything else about the device is hard to use, ask POS to come by and we'll adjust the machine to work better for you. Reach out through the contact table.
How do I run a Cash to Card card?
Our Cash to Card program is run by $CASHLESS. Their cards have only a magnetic stripe — they can't be tapped or inserted (chip). Swipe them through the Toast payment puck (Toast Tap) using the slot on the puck, with the magnetic stripe facing up.
Do not use the swipe reader on the side of the screen — always use the Toast Tap puck's slot for $CASHLESS cards.
